Administrative Assistant - Los Angeles

Job Title: Administrative Assistant
Reports To: Karen DuBois, Chief Administrative Officer
FLSA Status: Exempt

SUMMARY: Responsible for providing administrative and clerical support.

ESSENTIAL DUTIES AND RESPONSIBILITIES: The following list of duties is not all-inclusive and the employer may add, change, revise or adjust duties as needed.

  • Enter data into the computer by word-processing or spreadsheet ten-key calculations.
  • Research and compile special reports.
  • Perform bookkeeping functions.
  • Type memos, set up spreadsheets and develop presentations.
  • Order office supplies and coordinate with all vendors.
  • Manage office administrative functions.
  • Set up and maintain files.
  • Welcomes on-site visitors and monitor visitor access.
  • Coordinates logistics of on and off-site meetings and assigned events.
  • Answers phones and assist callers with their requirements.
  • Process incoming and outgoing mail and facsimiles (faxes).
    Sum Facilities management for care, repair and maintenance of office.
  • Support other employees as directed, including orientation of new employees and required tax forms.
  • Miscellaneous errands, such as depositing checks at bank.
  • Coordinate end of month copier and postage totals, etc.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Two year degree from college or technical school; or, five years related experience and/or training; or equivalent combination of education and experience.

COMPUTER SKILLS: Ability to effectively utilize computers to increase productivity. Must be able to understand and use effectively Microsoft Windows, Excel, Word, Internet, and Outlook. Other specialized software may be required dependent upon support projects assigned.

LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence and memos; Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear. The employee frequently is required to stand, walk and sit. The employee is occasionally required to reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl. The employee may frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Normal vision is adequate.
